November reminders

It's November and time to think about:

Thanksgiving Holiday:   For the USA Thanksgiving holiday, our offices will be closed on Thursday November 24 and Friday November 25.  For those in other countries, we will check voicemail and email to see if there are any urgent messages.   

DQB Holiday Schedules:  We also need to remind you to soon setup your holiday schedules in DQB for the upcoming 2017 year, as these can vary from year to year and country to country.

New Year New Updates:  It has become common practice for a number of labs to implement new systems or new features at the start of the new calendar year.   To avoid a stressful jam at the end of this year during the holiday season, we ask that you begin your project now.  

Snow and Ice: As we write this newsletter, there has not been even a flurry of snow here in Pennsylvania but just in case, here are our reminders.  We have our computers setup to service you from our homes should snow and ice make it very dangerous to travel to our offices.  As long as we have electricity, we can check for email and phone messages and log in to our computers (or yours if needed).   If you send a message, be sure to include who you are, why you have been in touch, and specific details on how to reach you.

Saying thanks:  The DentaLab systems have been very successful because of our close relationship with a number of labs who provide us feedback, who submit new ideas,  and who have been willing to talk to other labs to give their perspective and advice on using this software.    It has been a community effort and we send a big hearty thank you!

Keeping your systems up-to-date

There are many reasons why it is best to keep your systems relatively up-to-date for both hardware and software.   Implementing advances in small steady steps is much easier in terms of ease, learning curves and the integrity of your information.

We hope you will take a few minutes to review the article below titled "Quietly in the background" to gain greater understanding of some of the important behind-the-scene advances that have made your use of computer resources much easier for you.

If you want to use any of the online features of QuickBooks, your version must be within the past three years.   For your operating system,  the latest version Microsoft 10 offers the best security features and monitoring.   You can always check the About box in your DentaLab for QuickBooks software to determine your release level and compare this to the current level (now 1.48)  in the support section of our website:  www.mainstreetsystems.net

But if you have been neglectful...

In January, we will be encouraging those who have a service agreement to update to the latest version and offering those who have not had a service agreement an opportunity to get caught up.  Be on the lookout for news on this in our upcoming newsletters.

To answer your questions...

Q:  We want to see not only which cases are late, but which items within cases have not been completed on schedule.  How can we do this?

A:   You would go to Reports, then Cases By Scheduled Date.  First you can select the appropriate scheduled date range, then optionally you can limit the report by work center, technician or quality control if you wish.   If you wish to see only the case items not completed on schedule, next check the box to the left of Exclude Completed Items.  Then generate the report to see which case items are late.

You can choose from a number of ways to mark case items completed.  These include barcode scanning, the tablet workflow app, marking items by work center and date, the case entry/edit items screen, from the shipping/quality control screen or upon creation of an invoice.

Q:  On a multi-user system, when does QuickBooks need to be in single-user mode?

A:  Single-user mode means that access to the QB company file is limited to one person at a time.  For coordination with DQB, the times single-user mode are required are  simple and quick and involve certain types of setups:

  1. When authorizing the DQB integrated application, typically done once during the initial installation
  2. When setting up which DQB case fields can be transferred to QB as custom fields in Options/Invoice Settings

Other types of QB operations that need single-user mode are:

  1. Major file operations such as backing up, cleaning or exporting data
  2. Activities involving the Accountant's QB Copy
  3. When setting up or modifying other QB controls such as Finance Charges

QB will alert you if you need to switch from multi-user to single-user.   Any other users will need to close or exit from QB.   You can then go to the QB File menu and click the indicator for single-user, perform your operation and then remember to switch back to multi-user. Another good thing to know is that being in single-user mode makes time-consuming tasks go much faster so you might want to schedule these at a time when other users are not working and temporarily switch to single-user to get these done faster.

Quietly in the background

Not announced with major fanfare and oftentimes not particularly noticed, there have been many worthwhile improvements in computer hardware and software over the years.   These are typically developed quietly in the background and come to you along with the more newsworthy enhancements.  

There was a time when bits would get dropped in electronic transmissions.  For instance, dropping the 4-bit would change the number 7 to a 3.  When sending emails, sometimes chunks of text would not get there.  This has been dramatically improved with new techniques and it has become extremely rare for information to become changed due to faulty transmissions. 

Security issues are a bit more tricky.  As issues become known, they are addressed in hardware, software and communication vehicles.  But those with sinister intentions continually find new ways to steal or corrupt information.   With the rapidly growing use of the internet, overcoming security problems has become of prime importance and involves ongoing major expenditures of time and money.  

Another goal in this industry has been to make use of technology as easy as possible, always trying to guard against user errors and omissions.   Intuit with Quicken and then QuickBooks was one of the first and one of the most successful in doing this for accounting and financial management.  The DentaLab systems have always had this goal as well and judging by the feedback we have received from many dental labs, have been very successful in achieving this.  We do not, however, think our job is ever done and continually work to strike a good balance between capability and ease of use.

If you would like to use mobile devices

We have several recommendations for those who want to use mobile devices to access the DentaLab systems.

1) The browsers that come with the purchase mobile devices are not always the most modern.    We recommend that you download a browser designed for mobility such as Chrome, Edge or Firefox.

2) Within the lab, the DQBT Workflow App was designed specifically for tablet use by technicians and managers.  

3) For the dental offices submitting and looking up cases via DentalRx, the simple straight-forward screen designs work well with tablets.

4) Be very mindful of the need to manage security when granting remote access to your personnel.   You can use a combination of MyQuickCloud and the user roles/security features of the standard DQB to authorize and control access.
