Every November.....

It's November and time to think about:

Thanksgiving holiday:   For the USA Thanksgiving holiday, our offices will be closed on Thursday November 23 and Friday November 24.  For those in other countries, we will check voicemail and email to see if there are any urgent messages.   

DQB holiday schedules:  We also need to remind you to setup your holiday schedules in DQB for the upcoming 2018 year, as these can vary from year to year and country to country.

Updates to start the new near:  It has become common practice for a number of labs to implement new systems or new features at the start of the new calendar year.   To avoid a stressful jam at the end of this year during the holiday season, we ask that you begin your project now.  

Snow and ice: As we write this newsletter, the flowers are still blooming and there has not been even a flurry of snow here in southeastern Pennsylvania but just in case, here are our reminders.  We have our computers setup to service you from our homes should snow and ice make it very dangerous to travel to our offices.  As long as we have electricity, we can check for email and phone messages and log in to our computers (or yours if needed).   If you send a message, be sure to include who you are, why you have been in touch, and specific details on how to reach you.

Saying thanks:  The DentaLab systems have been very successful because of our close relationship with a number of labs who provide us feedback, who submit new ideas, and who have been willing to talk to other labs to give their perspective and advice on using this software.    It has been a community effort and on behalf of everyone, we send a big hearty thank you!

For those who are wisely easing into digital dentistry

A number of labs in our user group already or are planning to offer services that coordinate with digital dentistry.  There are increasing expectations from the dental offices that labs will be able to easily receive and then work with digital files in the design and development of their cases.

The wise response for those with DentaLab for QuickBooks is to add  the very affordable Images Supplement along with a scanner and/or USB camera to revolutionize their entire document storage and retrieval processes.  In addition, having DentalRx included in their website provides a very convenient way for the dental office to transmit digital documents and files for each case.

Windows 10 Creator Updates

Operating systems such as Windows 10 have to accommodate a lot of different equipment configurations and resources.  When providers such as Microsoft are informed on issues that arise, typically their programmers go into action to provide resolutions as quickly as possible.  Sometimes they need to coordinate with the providers of the equipment and resources to get the job done.

One of the issues with the Windows 10 Fall Creator update involved Remote Desktop Services, which is in use in a number of labs.   Our technical support was able to develop a fix to keep RDS functioning.   Call them if you need help with this.

To answer your questions....

Q: What are the best ways to protect our confidential information in QuickBooks?

A: QuickBooks provides for securing application areas within the software through logins and passwords.  The levels of security increase from Pro to Premier to Enterprise.   We would recommend that you implement these security measures and limit access to a small number of trusted personnel.  

When you synchronize QuickBooks information into DQB, you can have the Users & Security options protect your information in more specific ways by limiting access to menu options.  You can also choose to view invoice history in DQB and print invoices, credit memos, the invoice register and daily sales reports rather than doing these in QuickBooks. Some labs also choose to have multiple QuickBooks company files and limit synchronization with DQB to accounts receivable and sales functions in one of these, then transfer summary journal entries into another QB company file that handles bank accounts, assets, payroll, corporate reporting, etc.. 

Q: What exactly is a hybrid cloud?

A: Hybrid cloud technology is a concept rather than a specific system configuration.   As time has progressed, internet technology has shown both positive and negative impacts.   Hybrid cloud technology addresses these by providing greater control and security for the more confidential core information while providing portals for interaction between the organization and its customers, vendors and other associates.  Sometimes this means having data stored in more than one location.  The determinations on what should be kept private and what should be open to others is specific to each organization.

Q: If we add the tablet workflow app to our software, do the tablet users count as DQB users?

A: No, the tablet user count is separate from the DQB user count.   There are a number of ways to mark case item completions in DQB but the tablet method places the most customer and case information in front of the technician, can provide the most precise detailed timings and provides an opportunity for notetaking and feedback from the technicians.

The most well-liked updates in 2017

From the comments we have received from the labs who have kept their systems up-to-date, here are the most appreciated updates in the 2017 quarterly releases:

Revolving around the invoicing process, there were a number of new features in DQB that previously were available only in QuickBooks.  Included in the invoicing set were:

  • Advance Bills and Estimates
  • Credit Memos
  • Invoice Register for single customer
  • Increasing the efficiency and speed of batch invoicing

Although the standard set of critical case dates, task-level schedule and completion dates, and invoice dates covers a lot of ground, we have been amazed how labs want to further work with dates in their own unique way.   For these we added many date-related options to: 

  • Options/Case Settings  
  • Options/Invoice Settings 
  • Customer Activity Logs

As use of the tablet workflow app has increased, we have added more features this year based on suggestions from the lab.   For the DentalRx portal, we added higher security measures to meet with the new standards in the industry.  

We urge you to keep your systems and software up-to-date.  It is inexpensive, easy and very worthwhile.

Case Labels...small in size, big in organization

This past month we have had a number of inquiries on case labels.   Here's the scoop:

  • Case labels are available in a variety of sizes and formats, some for simply labeling the case materials, others with complete shipping information for bags and boxes, still others with barcodes for easy scanning.
  • Each time a lab reqiuests a different format, we add it to the standard system.  We do not keep them separate as we do for custom reports and other forms.
  • The Help user guide includes a section on case labels with a list of available formats.  We also offer a white paper called DQB Case Labels that can be emailed upon request.
  • You can establish default label types in Options/Case Settings and Invoice Settings, but also change your selection for a particular purpose or to check its format. 
  • You can also specify how and  when you want automatic label printing to occur.
  • Rather than using sheets of 20 or 30 labels on a standard printer, most labs now purchase a small label printer for one-up labels as this is more convenient, less expensive, with very little waste.
